Terms of service

Effective September 12, 2026

These terms govern use of the LogistAIR platform at logistair.com (the "Service") provided by LogistAIR ("LogistAIR", "we", "us"). The Service is licensed to aviation businesses (each a "Customer") under a subscription agreement. By signing in to the Service you agree to these terms on your own behalf and, if you use it for a Customer, on the Customer's behalf. Where a signed agreement between LogistAIR and a Customer conflicts with these terms, the signed agreement controls.

1. Accounts

Accounts are created by a Customer administrator or by invitation. You are responsible for keeping your password and any second factor confidential and for everything done under your account. Tell us promptly at support@logistair.com if you believe your account has been used without authorization. The Customer's administrators control which people in their organization hold accounts and what each may do.

2. Acceptable use

You agree not to:

  • access or attempt to access another Customer's data or another user's account;
  • probe, scan or test the vulnerability of the Service or circumvent its access controls, other than under a written security testing agreement with us;
  • upload malicious code or use the Service to send unsolicited messages;
  • copy, resell or sublicense the Service or use it to build a competing product;
  • use the Service in violation of applicable law, including aviation regulation.

3. Customer data

Everything a Customer and its users enter into the Service, and everything the Service imports from systems the Customer connects, is the Customer's data. The Customer grants LogistAIR a license to host, process, transmit and display that data solely to provide and support the Service. We handle personal information in that data as described in our privacy policy . The Customer is responsible for having the right to enter the data it enters and for the accuracy of that data.

4. Connected services

The Service can exchange data with third-party systems at the Customer's direction, including Google (Gmail), FuelerLinx, Xero, CAMP Systems and Authorize.Net. Each connection is optional and is made by a Customer administrator using the Customer's own account with that provider. By connecting a service, the Customer authorizes LogistAIR to access it in the way described in the Service and in the privacy policy, and agrees to that provider's own terms. A connection can be removed at any time, after which the Service stops accessing the provider. Data already imported remains part of the Customer's records.

For a connected Gmail mailbox specifically, LogistAIR reads messages matching the Customer's fuel invoice search, imports their attachments, and labels the handled messages. It does not send, delete or archive mail. LogistAIR's use of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.

5. Automated assistance

Some features, where the Customer enables them, use machine learning models to read documents or propose entries. Their output is a suggestion for a person to review, not a decision. The Customer remains responsible for every record it approves, every invoice it sends and every regulatory determination it makes, and must not rely on the Service as a substitute for the judgment of qualified personnel.

6. Fees

Fees, billing periods and payment terms are set out in the Customer's subscription agreement. Some optional features, such as AI-assisted document parsing, incur usage-based charges that are disclosed where the feature is turned on.

7. Availability and changes

We work to keep the Service available and to give notice of planned maintenance, but we do not guarantee uninterrupted operation. We may change or retire features over time; if a change materially reduces the Service, we will tell affected Customers in advance. Third-party providers may change or withdraw the interfaces the Service depends on, and we are not responsible for their availability or conduct.

8. Intellectual property

The Service, its software, design and documentation are owned by LogistAIR and its licensors and are protected by intellectual property law. These terms grant no rights in them beyond the right to use the Service as intended. Any feedback you give us about the Service may be used by us without obligation.

9. Disclaimers

The Service is provided "as is" and "as available". To the fullest extent permitted by law, LogistAIR disclaims all warranties, express or implied, including warranties of merchantability, fitness for a particular purpose and non-infringement. LogistAIR does not warrant that the Service will meet a Customer's regulatory obligations; the Customer alone is the operator, repair station or certificate holder and is responsible for compliance.

10. Limitation of liability

To the fullest extent permitted by law, LogistAIR will not be liable for any indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue or data, arising out of or related to the Service, and LogistAIR's total liability for all claims in any twelve-month period will not exceed the fees the Customer paid for the Service in that period. Nothing in these terms limits liability that cannot be limited by law.

11. Suspension and termination

We may suspend an account that violates these terms or presents a security risk, and will restore it once the issue is resolved where we reasonably can. A Customer may end its subscription as its agreement provides. On termination the Customer may request an export of its data within thirty days, after which we may delete it, subject to the retention described in the privacy policy.

12. Governing law

These terms are governed by the laws of the State of Texas, without regard to its conflict of laws rules. Any dispute that cannot be resolved informally will be brought in the state or federal courts located in Texas, and each party consents to their jurisdiction.

13. Changes to these terms

We may update these terms from time to time. The effective date at the top changes when we do, and material changes will be announced inside the Service before they take effect. Continued use of the Service after a change takes effect constitutes acceptance of the revised terms.
